Workflows and approvals

Why does a duplicated item skip steps or carry values it shouldn't?

Duplicate copies the item's last saved values, including ones set later in the workflow, so conditions can behave differently. There's no setting to limit or disable it.

Fix

Short answer: Duplicate copies the item's last saved values. Values set at later steps or by integrations can come along, and that can make step conditions skip. You can't limit what Duplicate copies or turn it off for some users.

Why it happens

  • Users can duplicate items that are In progress or Completed. The copy uses the last saved values for its fields, within the initiator's scope, so fields hidden from them aren't exposed on the copy.
  • Values written at later steps or by integrations, and dropdown values since removed from the list, can carry into the new item.
  • Copied values that the initiator can't see don't recalculate when the copy is submitted, so a condition that reads them may route the item differently.

How to fix it

  1. If items skip steps even though their conditions look met, check whether they were created with Duplicate.
  2. Base step conditions on fields the initiator fills in at Start, not on fields that later steps or integrations write.

See duplicating an item.

Important

There's no option to copy only visible or Start step fields, and no way to disable Duplicate for particular users.
