Can I stop emails going to users when I add them to a process or change their access?

Turn off the matching process management notifications, such as Member added to the process, in the process's Notification settings.

How-to

Short answer: Yes, per process. Process management notifications, such as Member added to the process, can be turned off in the process's notification settings.

Why it happens

  • Each process sends a predefined notification when someone is added as a member, Developer, Report Admin, Data Admin, or admin.
  • These notifications can't be edited, but each one can be turned on or off.

How to fix it

  1. Open the process and click Manage > Settings > Notification settings.
  2. Turn off the events you don't want, for example Member added to the process, Report Admin added to the process, or Admin added to the process.
  3. Share the process or change access as planned.
  4. Turn the notifications back on afterwards if you want them for future changes.

See notification events in processes.

Boards and apps have their own versions of these events, such as Member added to a board and Member added to the app. See notification events in boards and notification events in apps.

If you need to silence email for a large access cleanup across many flows:

  1. A Super Admin can turn off Email notifications under Account administration > Notification settings > Global notifications.
  2. Turn it back on when you're done.

See admin notification settings.

Important

The global toggle stops every email notification for every user, including task and approval emails. Essential system emails, such as user activation and password resets, still go out. Keep it off only as long as you need, and warn users first.
