Building integrations

How do I send a Slack message with a link to the item from a process?

Look up the assignee's email with Get user data, find their Slack user by email, send a direct message, and build the item link with concatenate.

How-to

Short answer: Build an integration that gets the assignee's email, finds their Slack user by email, and sends a direct message. Put the item link in the message with concatenate.

Why it happens

Slack identifies people by its own user ID, and a Kissflow user field holds a Kissflow user. You need two lookups to get from one to the other.

How to fix it

  1. Create an integration with the Kissflow Process trigger When an item advances to next step.
  2. Add the User details connector action Get user data, and map the current assignee's ID into User IDs.
  3. Add the Slack action Find a user by email, using the email from step 2.
  4. Add Send a direct message and send it to the Slack user ID from step 3.
  5. Add a condition so the message is sent only when the assignee isn't empty. When an item completes, there's no assignee and the message fails.

For approved or rejected notices, use the same steps with a different trigger, such as When an item is rejected.

To add a link to the item, build it with concatenate in this format:

https://{your domain}/view/process/{Process ID}/form/{Instance ID}/{Activity Instance ID}

The instance ID exists only after the item is submitted, so use a trigger such as When a draft item is submitted or a later one.

Important

The activity instance ID changes as the item moves through steps, so an old link can stop working. You can link to a report shared with the right people instead.

Tip

On Enterprise, a Super Admin can turn on the Kissflow Bot for Slack, so people get process notifications and act on them in Slack without an integration. See Bot settings.
