How do I email the requester when an item is sent back, with the reason?

Build an integration on the trigger When an item is sent back that looks up the requester's email and sends an email with the send-back note.

How-to

Short answer: Use an integration. Trigger it when an item is sent back, look up the requester's email, and send an email that includes the send-back note.

Why it happens

  • No predefined notification fires on send-back with the reason in it.
  • Integrations can react to the send-back and pass its data into an email.

How to fix it

  1. Create an integration with the Kissflow Process trigger When an item is sent back, and select your process.
  2. Add the User details action Get user data, and map the item's Created by user ID to fetch the email.
  3. Add the Email connector action Send an email.
  4. Map the fetched email into To.
  5. In the Email body, add the last action note from the trigger. It holds the send-back reason.
  6. Test the actions, then turn on the integration.

Tip

When the item is sent back to the start, the initiator also gets the standard Item assigned notification, so your email only needs to explain the reason.
