Fix
Short answer: In most cases Kissflow sent the email and the recipient's mailbox or mail filter stopped it. Check spam, confirm the user is the assignee, and confirm the notification is turned on.
Why it happens
- The email landed in spam or junk, or the organization's mail filter blocked it.
- The user isn't the step's assignee. Only the assignee gets the "Item assigned" email.
- The notification or the user's email channel is turned off.
- Kissflow blocked the address, for example after an email change.
How to fix it
- Ask the user to check Spam, Junk, Promotions and All mail, and to search for mail from
kissflow.com. - Confirm the user is the actual assignee of the step.
- Check the process notification: click Manage > Settings > Notification settings and make sure the Item assigned event is on. See process notifications.
- Ask the user to check their profile picture > My settings > Notification settings: turn on Email notifications, and under Notification channels make sure email is on for that process. See user notification settings.
- Ask IT to allow mail from
kissflow.com, including prdadmin@kissflow.com, and to allow Kissflow's domains. See ensuring smooth access to Kissflow. - Check that a Super Admin hasn't turned off Email notifications under Account administration > Notification settings. If your account uses a custom SMTP server, check it's working. See admin notification settings.
- Ask whether the user gets other Kissflow emails, such as exports. If none arrive, or the address recently changed, the address may be blocked on Kissflow's side. Contact Kissflow support with the email address and the time the item was assigned.
Important
If a user is both the step approver and the process admin, Kissflow sends one email for that action, even if two notifications are configured.
