Boards

Can external (unlicensed) users update a board item?

No; external users can't edit board items, but they can submit a public form whose integration updates the item for them.

How-to

Short answer: No. Only licensed users in your account can edit board items, and replying to an integration email doesn't update an item. Let outsiders submit a public form instead, and use an integration to update the board item.

Why it happens

  • Board items can only be edited by users in your Kissflow account.
  • Email replies aren't read back into board items.

How to fix it

Use a public form and an integration:

  1. Create a process with the fields the outsider needs to fill in, including a value that identifies the board item.
  2. Turn on its public form under Manage > Settings > Public form settings. See public forms.
  3. Create an integration with the Kissflow Process trigger When a draft item is submitted.
  4. Add a Kissflow Board action Retrieve data from a board to find the matching item, then Update an item with its ID. Map the fields.
  5. Test the action, then turn on the integration.

Or update from email:

  1. Use the Microsoft Outlook trigger When a new email is received, then add the Kissflow Board actions Retrieve data from a board and Update an item.

Tip

If outsiders need to sign in and work with your data over time, consider a portal. Portals are an Enterprise feature.
