Forms, fields and formulas

Why can't I change a field's data type ("exceeded the allowed limit of 5000" or "Data field version conflict")?

Don't retype a field that holds live data. Hide the old field and add a new one with the type you need.

Fix

Short answer: Kissflow blocks data type changes in forms with more than 5,000 items. Hide the old field and create a new one of the type you need.

Why it happens

  • Changing a live field's type, for example Dropdown to Lookup, can lose or break data.
  • In forms with more than 5,000 items, the change is blocked to prevent versioning issues.
  • In smaller forms, changing types while items are in progress can cause a "Data field version conflict".

How to fix it

  1. Hide the existing field.
  2. Add a new field with the type you need.
  3. Use the new field in the form, workflow and reports.

See the FAQs in creating a form.

In smaller forms, the publish dialog lets you edit existing values when you convert simple types such as Text and Number. Lookup fields can't be converted this way because they hold several fields.

Tip

Number to Text keeps your data. Text to Number isn't recommended.
