Forms, fields and formulas

How do I show the assignee, approver or other user details as text in a form field?

Use an integration to write the current assignee or approver into a text field, and use dot-operator formulas for requester and lookup user details.

How-to

Short answer: No formula returns the current assignee, so use an integration that writes the assignee's name into a text field each time the item moves. For the requester or a user from a lookup, use a formula with the dot operator, such as _created_by.Name.

Why it happens

User fields are objects, and multi-user fields are lists, so a text field can't take them directly. You have to pick one attribute, such as the name, and the current assignee isn't available as a formula value at all.

How to fix it

Current assignee's name

  1. Add a text field to the form.
  2. Create an integration with the Kissflow Process trigger When an item advances to next step.
  3. Add the Process Update an item action and map _current_assigned_to into the text field.

The field updates each time the item moves to a new step.

Approver of a specific step

  1. Add a new text field.
  2. Create an integration with the trigger When an item is approved by an assignee at this step.
  3. Add an Update an item action that writes the user's name into the text field.

See Kissflow Process connector for the full list of triggers.

Requester's details

Use the dot operator on _created_by in a text field, for example _created_by.Name or _created_by.Manager.Name. Custom user attributes, such as a company field, work the same way. See User expressions.

User from a lookup (for example, to print on a PDF)

  • Single user: Lookup_Field.User_Field.get(1).Name
  • Multi-user: concatenate(Lookup_Field.Multi_User_Field.get(1).Name, " ", Lookup_Field.Multi_User_Field.get(2).Name)

List positions start at 1. For a version that handles one or two users, see How to display the names of multiple users from a lookup field in a text field.

Users from a group

Add a User field and filter it by Groups. You can choose more than one group. See User field.

Important

_employee(...).Groups doesn't work in workflow formulas. It fails with Field 'Groups' not found in the _employee model.
