Users, roles and assignment

Why do users see a process on Explore when I haven't shared it with them?

Seeing a process on Explore doesn't give access. Check whether the user, one of their groups, or Everyone is still assigned to it.

Fix

Short answer: A process listed on someone's Explore page doesn't give them access. If they open it without permission, they can't see the process or its data.

Why it happens

  • The user, a group they belong to, or the Everyone group may still be a member of the process.
  • If the user was added to the process earlier and later removed, it can still show for a while.

How to fix it

  1. Open the process and click Manage > Share.
  2. Check the member list for the user, any group they belong to, and Everyone. Every user is in Everyone, so sharing with it shares with the whole account.
  3. Remove any assignment that shouldn't be there. If access comes through a group, remove the group from the process, or remove the user from the group in Group management. See managing process members.
  4. Ask the user to open the process. If they still have access, contact Kissflow support.
