Why is an item missing from my report, or why are unfinished or withdrawn items showing?

Report filters decide which items appear; check date ranges and exact values, and filter by Status to show only completed items.

Fix

Short answer: The report's filters decide which items appear. Check the saved filters for a narrow date range or a value that doesn't match exactly. The All Items report shows items in every status, including withdrawn ones.

Why it happens

  • A saved Created at date range excludes the period you expect.
  • The item's value differs slightly from the filter value, for example a trailing space or a different spelling.
  • The All Items report includes in-progress, rejected and withdrawn items, not only completed ones.

How to fix it

  1. Open the report and click Edit. Check its advanced filters.
  2. Remove or widen any Created at date range that hides the period you need.
  3. Open the missing item and compare the filtered field's value with the filter. Look for extra spaces or spelling differences.
  4. To show only finished items, add a filter where Status equals Completed.
  5. To leave out withdrawn items, add a Status filter that excludes them, or remove them from the exported file.

See tabular reports and reports overview.

Important

A Process Admin can also delete withdrawn items from More options > Administration. Deleted items can be restored from the Deleted items tab for 30 days, then they're removed for good. See admin actions in a process.
