Building integrations

How do I start a process item for everyone in a user group on a schedule?

Use the Scheduler by Kissflow connector to run an integration at regular intervals that creates a process item for each user in a group.

Tip

Short answer: Use a Scheduler by Kissflow trigger to run an integration that initiates a process item for every user in a user group.

When to use this

Use this when the same process item has to be raised for a group of people at regular intervals. For example, a product team runs a monthly review. Instead of starting an item for each person by hand, a scheduled integration initiates a Monthly Review item for every user in the team's user group each month.

Set it up

  1. Click + Create in the left navigation panel and select Integration.
  2. Search for Scheduler by Kissflow and choose how often it runs, for example Monthly. Set Calendar days of the month and Time of the day, then test the trigger and click Done.
  3. Add the Retrieve user group details action from the Kissflow user details connector and pick the group. It returns the users in that group.
  4. Add a Loop step over the returned users.
  5. Inside the loop, add the Kissflow Process action Create and submit a new item, and map the user into the field that should hold them.
  6. Test each step, then turn on the integration.

A loop handles only the first 100 records, so keep each group under that size or split it.

Tip

You can add multiple user groups to initiate items for different groups using a single integration.
