How-to
Short answer: Connect the two processes with a Run a process step, or create an integration with a Kissflow Process trigger on the first process and the action Create and submit a new item on the second.
Why it happens
A process can't start an item in another process from form settings. You need a connected process step or an integration.
How to fix it
To use a connected process step (Enterprise):
- In the source process, click Manage > Edit process > Workflow.
- Click Add at the point where the new item should start, and select Run a process.
- Select the target process and map the fields. To start one item per table row, turn on Initiate items from table entries.
- Click Go live. See Connecting processes.
This step can't map attachment, smart attachment, lookup, remote lookup, image, aggregation, signature, rich text or button fields. If you need those, use an integration.
To use an integration:
- Create an integration with a Kissflow Process trigger on the first process, for example When an item completes its workflow or When an item is approved by an assignee at this step.
- Add the action Create and submit a new item and select the second process.
- Map each field from the trigger data. Map the field value, not an ID, especially for lookup fields.
- Test the action, then turn on the integration.
Other cases:
- Update an existing item instead: use Search an item on a shared field, then Update an item.
- Start from a dataset change: use the Dataset trigger When an existing row is updated, add a condition, and put Create and submit a new item in the Yes branch.
- Start on a schedule: use the Scheduler trigger.
- Start many items at once: use Create and submit items in bulk, for example from rows loaded into a dataset.
Important
Items created by an integration show the connection owner as the initiator. You can't set a different initiator per item.
